What a compliant UK invoice needs
- A unique, sequential invoice number — HMRC expects an unbroken sequence
- Your name and address — sole trader name or registered company name
- The customer’s name and address
- Invoice date and supply date — when the work was done or goods delivered
- A clear description of the goods or services
- The amount due and payment terms
- If VAT-registered: your VAT number, the rate (usually 20%), and the VAT amount shown separately
VAT: registered or not?
If your taxable turnover is under the HMRC threshold and you have not voluntarily registered, you are not charging VAT — set the VAT rate to 0 and leave the VAT number off. Once registered, add your VAT number to your business details and apply the standard 20% rate (already the default here), or the reduced/zero rates where they apply to your goods. Getting paid on time
The UK’s Late Payment of Commercial Debts (Interest) Act lets businesses charge statutory interest plus a fixed recovery fee on overdue commercial invoices. You rarely need to enforce it — but a line in your terms noting that late invoices “may incur statutory interest” changes payment behaviour. Pair the invoice with a quotation up front and a receipt on payment for a complete, professional paper trail.

What must a UK invoice legally include?
A UK invoice should show a unique sequential invoice number, your business name and address, the customer's name and address, a clear description of goods or services, the supply and invoice dates, the amount due and the payment terms. If you are VAT-registered you must also show your VAT number, the VAT rate applied and the VAT amount — this generator has fields for all of it.
Do I need to charge VAT on my invoice?
Only if you are VAT-registered. Registration is compulsory once your taxable turnover passes the HMRC threshold (£90,000 as of 2024/25), and optional below it. If you are not registered, set the VAT rate to 0 and do not show a VAT number. If you are registered, the standard rate is 20%, which this template pre-fills.
Can a sole trader use this invoice generator?
Yes. Sole traders invoice under their own name (or a registered trading name) plus their address. You do not need a company number, but keep a copy of every invoice for your Self Assessment records. The tool runs entirely in your browser, so nothing is stored or uploaded.
What are normal UK payment terms?
30 days is the common default for UK businesses, though 14 days is fine for smaller jobs and sole traders.
